Is Jane App PHIPA compliant?

Jane stores Canadian accounts in Montreal and Calgary, describes itself as your agent, and says its telehealth is PHIPA compliant. What that covers, what no vendor can cover for you, and what Jane doesn't do.

Jane is a reasonable choice for a Canadian practice on privacy grounds, and it says more than most vendors do. Canadian accounts are stored in "Montreal, Quebec, and Calgary, Alberta", and Jane describes itself as acting "as an agent that stores patient data on behalf of our customers" (Jane security FAQ). Its telehealth guide states: "Telehealth Appointments are fully HIPAA, PIPEDA, PHIPA, and GDPR compliant" (Jane, telehealth and privacy laws).

What no vendor can do, Jane included, is meet your obligations for you. Under PHIPA you are the custodian, and the duty to "take steps that are reasonable in the circumstances" is yours (PHIPA, s. 12(1)).

Jane is a practice management system. If you're weighing it for privacy, the other options are Owl Practice and SimplePractice; for the phone side, which Jane doesn't cover, there's Rivet. Rivet is ours, so read this page with that in mind.

What does Jane cover?

Jane's own pages describe:

  • Where data lives: Canadian accounts in Montreal and Calgary.

  • Its role: an agent storing data on your behalf, with the account owner owning the client data.

  • Video: "We don't allow recordings or data storage of any kind for the calls."

  • Plans: one-to-one telehealth on every plan (Jane pricing).

What doesn't Jane cover?

A phone number. Jane's Practice and Thrive plans include SMS appointment reminders, which are notifications going out. For a client to call or text you back, you need a number, and many Jane practices still hand out a personal cell.

What should I ask Jane?

  • Is my account set to Canadian storage, and can I see that in my settings?

  • What will Jane put in writing about how it handles client information as my agent?

  • Who at Jane can access my clients' files, and when?

  • How do I export everything if I ever leave?

A vendor that answers these plainly has given you what you need for your file, whatever its marketing says about compliance.

What stays with you?

  • who on your team can see which client files

  • what your consent forms say about the systems you use

  • how you handle anything that leaves Jane: email, texts, phone calls

  • your College's record-keeping standards

Where does Rivet fit?

Alongside Jane, not instead of it. Rivet gives you a practice number for calls, texts and voicemail, with one thread per client, records kept in Canada, and Rivet signed on as your agent under PHIPA in a data processing agreement. It is $29 CAD a month for the practice line.

Stay with Jane alone if your clients reach you through Jane and email, and you never need a separate phone number.

About Rivet

Rivet is a Canadian practice line built for therapists — a separate number for calls, texts and voicemail, with video sessions and clinical tools in the same place. Your data stays in Canada, and transcription runs on Rivet's own hardware rather than a third-party AI service.

$29 CAD a month per practitioner for the practice line, or $65 with video sessions and clinical tools. Fourteen-day trial, no card.
